We are seeking an Executive Administrative Assistant to partner with a team of relationship managers and strategically support a growing business through diverse administrative tasks and other key projects. This individual will work closely with the relationship managers and interact with internal colleagues of all seniority levels and very sophisticated high-net-worth clients on a daily basis. This position makes a substantial impact to both the firm and clients while requiring the highest levels of confidentiality.

The successful candidate will possess initiative, strong judgment, independent decision-making skills, and the ability to understand and solve complex problems. In addition, the candidate will need to exhibit high energy, flexibility, and excellent organizational/prioritization skills to help their team accomplish goals and reach deliverables in a timely and effective manner.

The candidate will be able to excel in a fast-paced, deadline-driven environment that is team-oriented and requires frequent collaboration with multiple internal parties. He or she must possess an acute attention to detail and the ability to deliver flawless work output. In addition, the candidate must represent the team and firm with professional courtesy and acumen at all times.

  • Tact and good judgment in confidential situations and experience interacting with senior management and external clients

  • Knowledge of general office procedures (filing, correspondence, scheduling)

  • Previous experience working with and supporting a team of individuals through administrative duties

Responsibilities

  • Responsible for the coordination and logistics (reservations, confirmations, materials, etc.) of all internal and external meetings

  • Assist in preparing materials or analysis for client meetings as requested

  • Screen incoming calls and e-mails to determine the level of priority while using caution in dispensing information; attempt to resolve or escalate to the appropriate parties so as to not cause delays

  • Interact with and help clients on a daily basis through incoming calls

  • Manage complex calendars for multiple individuals

  • Expense management – Process invoices and travel expense claims for team members in accordance with company policy

  • Produce high-quality e-mails and other written communication to internal parties and clients

  • Lead and coordinate ad hoc projects for the team as requested

  • Handle regular activities without prompting, and advise in advance of issues or delays

  • Identify areas for improvement and take initiative to solve

  • Assist the team of relationship managers in all other aspects of daily business activities

  • Provide back-up and support to other Administrative Assistants as necessary
