Day-to day responsibilities will include: scheduling meetings and appointments, coordination of meeting logistics, managing travel schedules, and processing expense statements for a global team. The position also involves broad interaction with various internal stakeholders and partners across the globe.
Primary responsibility is to provide department-level support for various projects (80% of role)- Own and execute against key deliverables- Track status across multiple projects utilizing Excel and Project Management tools- Compose presentations to update team members on project status- Complete required global Controls activities and documentation
Also provide administrative support (20% of role) for multiple team members, including:
Collaborate with other administrative assistants around the globe to schedule and coordinate logistics for meetings and conferences calls and manage conference room reservations
Book international and domestic travel, manage itineraries, and process expense reports in a timely manner
Manage individual and team calendars – e.g. team vacation calendar, training calendar, etc.
Assist with employee onboarding and off-boarding activities – e.g. equipment setup, requesting systems access, and other technology requisitions (via EURC system)
Maintain team supply inventory and place orders as needed
Maintain team organizational charts and manage distribution lists
Manage additional projects as needed – e.g. data management, real estate transfers, employee development activities
Contribute toward creation of presentations\
Capture and distribute meeting notes and monitor meeting follow-ups
4-year degree (BA/BS) required; experience working with senior-level executives preferred
Intermediate to advanced technical skills in Microsoft Excel, Outlook, PowerPoint and Word
Strong ability to simultaneously manage multiple projects and priorities with high quality in a compressed timeframe
Interest in expanding responsibilities and platform over time within the Global Client Reporting and Request For Proposal (RFP) teams. To maximize mobility opportunities a college degree may be required.
