The Global Real Estate (GRE) team consists of more than 400 employees, executing 13,000 capital projects per year globally totalling nearly $2 billion a year in design, construction and capital investment.
The Associate Program Manager proactively assists the Regional Real Estate Manager and Program Manager with sub-regional project activity and develops the tactical plans for the movement of the portfolio. The Associate Program Manager is responsible for working with the move coordination company (Meehan) to execute upon moves within the sub-region. The position requires strong customer and vendor relationship management, creative problem solving, and an understanding of space planning tools.
Primary Functional Roles & Responsibilities:
Direct report to the Regional Real Estate Manager with ‘dotted-line’ reporting to the Program Manager
Responsible for supporting Program Manager with project execution across the real estate life-cycle within the sub-region:
Support collection and documentation of LOB project requirements
Receive LOB real estate requests via the Real Estate Project Request System (REPRS)
Filter LOB requests / work orders to appropriate parties as applicable
Support project strategic analysis as required
Coordinate communications with GRE functional teams and project teams on project status
Support with development and completion of project charters, CERPs and TFAs
Assist the regional program manager with the coordination of GTI, ECCS (for Call Center projects), and other internal resources as needed
Participate in regional governance meetings by contributing project updates and associated sub-region activity
Act as GRE single point of contact for all sub-region moves (Meehan to tactically execute)
Manage all move related communications
Working in coordination with GTI and the local LOB to provide move matrix for moves/projects
Pre and post move, review headcount projections and occupancy allocation updates; Support maintenance of space assignments, reporting, etc. to maximize utilization while increasing data integrity and encouraging good corporate behaviors
Understand data in space management system to ensure data integrity within the sub-region and ensure project work is reflected in the space data system of record
Provide the appropriate Day One/Day Two support for moves as communicated to the LOB and GRE partners (as assigned)
Support strategy, planning, market management of space and seat count within the sub-region
Identify opportunities and support execution of projects to consolidate seating or improve space utilization to meet LOB (demand) and GRE (supply) goals
Collaborate with program management team and finance to effectively roll out and maintain occupancy allocation information in partnership with Real Estate Liaisons (RELs) or other key contacts within the LOB's
Responsible for space allocation at the seat level (including training clients on their certification of on ‘My Seat’)
Ensure all names-to-seats and allocations (occupancy – cost centers) are current and correct in GREDL and Serraview for the sub-region
Support and maintain occupancy allocation updates for monthly GREDL updates
Complete or coordinate on site occupancy and data validation floor walks as required
Communicate with other Associate Program Managers to ensure process consistency
Bachelor’s degree in architecture/design background preferred
Understanding of space management and the real estate lifecycle
Ability to communicate effectively at all levels of management
Demonstrated experience in developing and maintaining strong customer relationships
Strong financial/analytical and problem-solving skills
Excellent verbal and written communication skills, AutoCAD, Excel, Word, and Serraview
Excellent organizational, follow-up and time-management skills
Ability to be forward thinking, flexible, able to visualize and execute on ideas, strategically minded with tactical appreciation
